Cancellations and refunds at a glance
| Cancellation received | Days before the Forum | Refund |

| On or before 28 December 2026 | 30 or more | Fee paid, less a fixed administration fee of RM 150 |
| 29 December 2026 – 17 January 2027 | 10 to 29 | 50% of the fee paid. Final venue and catering headcounts are committed in this period. |
| On or after 18 January 2027 | Under 10 | No refund. The fee is forfeited in full because of pre-committed financial obligations. |
Substitute a colleague: free of charge, in writing, up to 20 January 2027.
How to cancel or substitute: email the event secretariat at events@nawem.org. The date your email is received determines which tier applies.
1. Registration and payment
A registration is confirmed only when full payment has been received. Online registrations are paid by card through Stripe at the time of booking. Corporate, group, HRD Corp and bank-transfer registrations are invoiced by the Organiser and must be paid within 14 days of the invoice date and, in every case, before the Forum begins.
The fee category selected (NAWEM member, non-member, day pass) must be correct at the time of registration. Member rates are available only to NAWEM members in good standing; the Organiser may ask for a membership number and may invoice the difference if the category cannot be verified.
Early-bird rates apply to registrations paid on or before 30 November 2026. Unpaid early-bird registrations revert to the standard rate.
Fees are charged in Malaysian Ringgit (RM). The price shown at checkout is the amount payable. Bank charges, card foreign-exchange fees and intermediary charges are borne by the delegate.
The registration fee covers admission to the conference sessions on the day(s) booked, the marketplace and B2B matching area, conference materials, and catering and social functions as listed in the programme. It does not cover travel, accommodation, visas, insurance or personal expenses.
2. Cancellation by the delegate
A cancellation is valid only when submitted in writing by email to the event secretariat at events@nawem.org from the registered email address, quoting the registration reference (NIF2027-nnnn). Verbal or telephone cancellations are not accepted. The Organiser will acknowledge every cancellation; a cancellation that has not been acknowledged should be treated as not received.
Refunds are calculated on the date the cancellation email is received, Malaysian time:
| Cancellation received | Days before the Forum | Refund |
|---|---|---|
| On or before 28 December 2026 | 30 or more | Fee paid, less a fixed administration fee of RM 150 |
| 29 December 2026 – 17 January 2027 | 10 to 29 | 50% of the fee paid. Final venue and catering headcounts are committed in this period. |
| On or after 18 January 2027 | Under 10 | No refund. The fee is forfeited in full because of pre-committed financial obligations. |
A delegate who is registered but does not attend (a no-show) is not entitled to any refund. Where a no-show delegate was invoiced and has not yet paid, the full fee remains payable.
Changing a full pass to a day pass is treated as a partial cancellation: the difference in fee is refunded according to the schedule in 2.2. Changing a day pass to a full pass is allowed at any time by paying the difference at the rate current on the date of the change.
A delegate who registered as a non-member and later becomes a NAWEM member is not entitled to a refund of the difference between the rates.
Refunds are made to the original payment method, in Malaysian Ringgit, within 30 days of the Organiser confirming the refund. Bank or card charges are not refunded. Refunds for invoiced registrations are paid by bank transfer to the account from which payment was received.
3. Substitutions and ticket transfers
A registered delegate who cannot attend may transfer the registration to a colleague from the same organisation, or to another named person, at no charge. Requests must be made in writing to events@nawem.org by the original delegate or their organisation, giving the substitute’s full name, email, organisation and designation, no later than 20 January 2027.
After 20 January 2027, substitutions are handled at the registration desk on site and require a letter or email from the original delegate and photo identification from the substitute.
The substitute must qualify for the fee category of the original registration. Where a NAWEM member’s registration is transferred to a non-member, the difference between the rates is payable before the transfer takes effect.
A registration may be substituted once. Substitutions are not refunds, and the cancellation schedule in section 2 applies to the substitute from the date of the original booking.
4. Visas and invitation letters
Delegates are responsible for obtaining any visa needed to enter Malaysia. The Organiser will issue a letter of invitation on request to fully paid delegates; the letter does not guarantee entry and is not a substitute for the visa application.
A delegate whose visa application is refused may cancel and receive a refund of the fee paid less the RM 150 administration fee, regardless of the date, provided that a copy of the official refusal notice is received at events@nawem.org no later than 13 January 2027. Refusals notified after that date, and applications submitted too late to be decided before the Forum, are treated under the normal schedule in 2.2.
5. Changes, postponement or cancellation by the Organiser
The Organiser may change the programme, speakers, session times or venue rooms where necessary. Such changes do not entitle a delegate to a refund, and the Organiser will publish changes on nif2027.com as soon as practicable.
If the Organiser postpones the Forum to new dates, moves it to a new venue, or shifts it to a virtual format, every registration is transferred automatically to the new dates or format. A delegate who does not wish to attend on the new terms may instead request a 100% refund of the fee paid, in writing, within 30 days of the announcement.
If the Organiser cancels the Forum, all registration fees paid will be refunded in full within 30 days of the announcement.
The refund of the registration fee is the Organiser’s sole liability to the delegate. The Organiser expressly disclaims liability for any non-refundable travel, flight, accommodation, visa or other expenses that a delegate incurs because the Forum is altered, postponed, moved, made virtual or cancelled. Delegates are strongly advised to take out travel insurance that covers cancellation of the event.
Force majeure. The Organiser is not in breach of these terms where the Forum is postponed, moved, changed in format or cancelled because of circumstances beyond its reasonable control, including but not limited to natural disaster, epidemic or pandemic, public-health measures, government order, industrial action, failure of the venue, terrorism, war or civil unrest. In such cases sections 5.2 to 5.4 apply.
6. General
The Organiser reserves the right to refuse or cancel a registration, and to remove a delegate from the Forum, where the delegate has provided false information, breached the Forum’s code of conduct, or where attendance would be unlawful or bring the Forum into disrepute. A refund under this clause is at the Organiser’s discretion.
Registration data is handled in accordance with the Privacy Notice and the Personal Data Protection Act 2010.
These terms are governed by the laws of Malaysia. Any dispute is subject to the jurisdiction of the courts of Malaysia.
The Organiser may update these terms; the version published on nif2027.com at the time of registration applies to that registration.
